ACCPAC Plus  -- Check Data Integrity 

PURPOSE
Checking data integrity is an essential step in using your ACCPAC Plus accounting software.  Checking data helps you discover if your accounting data is damaged.  Data integrity problems can happen in a number of ways, for example:

• You can physically damage the hard disk when moving your computer.
• Power fluctuations, interference or network problems can cause the computer to write data to the disk inaccurately.
• A file the program needs can be deleted inadvertently.

Checking the data integrity of ACCPAC Plus programs is a two-phase process.  In the first phase, the structure of the data files is examined to be sure the files can be read and are correctly linked.  In the second phase, the data is validated - values are recalculated and compared against stored values to be sure they match and in some cases allow the user to "fix" them.  For additional information, refer to Chapter 9 in your ACCPAC Plus Windowing System Manager manual.

FREQUENCY
Micro Management Associates recommends that you check the data integrity of ALL your data files at least once a week.  Doing so may reveal a data integrity problem before it becomes serious and un-fixable avoiding possible re-entry of data.  You should also check data integrity any time you freeze or lock-up while in a module requiring a reboot.

 PROCEDURE

1. If you are on a network, be sure that all users are logged out of ACCPAC Plus
2. Be sure that you do not have any ACCPAC Plus applications (e.g. General Ledger, Accounts Receivable, Accounts Payable, etc.) running. Your ACTIVE LIST should be empty.
3. Press F3 to bring up the SYSTEM MANAGER menu
4. Select "CHECK DATA INTEGRITY"

To check one program

§  Select "ONE START LIST ITEM"

§  Select the program to be checked, for example, Accounts Payable

§  Answer "NO" to the prompt "Do you want to fix all errors that can be fixed"

To check ALL Start List programs

§  Select "ALL START LIST ITEMS"

§  Answer "NO" to each prompt "Do you want to fix all errors that can be fixed"

5. At the completion of data integrity check for each Start List item, you should get the message "Integrity check complete.  Data contains no errors."
